Executive Assistant

Contract Type: Permanent / Full Time

Based in Chessington, we are looking for an Executive Assistant to co-ordinate all front of house activities and provide general administrative support to the Group Executive Board Members.


  • Front of House & Switchboard
  • Co-ordinate incoming calls to the correct recipients
  • Great guests and provide refreshments
  • Diary Management
  • Organise and maintain Group CEO diary and schedule
  • Organise and maintain the Executive Board Members diaries
  • Co-ordinate internal and external meetings and staff events
  • CEO and Executive Travel Arrangements
  • Manage all aspects of international and UK travel, including but not limited to -
  • Flight booking
  • Hotel booking
  • Car hire
  • Car parking
  • Public transport and taxi bookings
  • Create accurate itineraries for every trip
  • Maintain a travel log of all activities and secure the most cost effective methods of travel.
  • Financial Management
  • Petty Cash – distribute and reconcile each month
  • Generate board members expense claims with VAT receipts where applicable
  • Human Resources
  • Maintain absence and holiday register and inclusion on the company calendar
  • Absence and holiday analysis
  • Minute taking & distribution
  • Organise all HR and H&S courses as directed
  • Contract preparation and distribution
  • Maintain confidential records in accordance with GDPR rules
  • Recruitment and administration
  • General Admin
  • Complete the below tasks daily / as required -
  • Preparation of greeting areas and board room
  • Distribute incoming post and deliveries
  • General filing as directed
  • Diarise renewals of utility and service provider contracts
  • Negotiate renewals where appropriate

  • Educated to Degree level or equivalent level of experience



  • A minimum of five years’ experience working as an executive assistant in a fast paced office environment
  • Good knowledge of standard Microsoft Office software, including Word, Excel & PowerPoint
  • Self-sufficient, well organised individual
  • Previous experience of working in an administrative / receptionist role
